Organizations & Agencies
A single band can get by with one TourLife project. Management companies, booking agencies and production houses usually juggle many artists or productions at the same time. That's where organizations and agencies come in:
- An organization groups multiple bands or projects. Organization admins manage all of them from a single place.
- An agency groups multiple organizations.
Organizations and agencies are set up by us. If you'd like to bring several projects together, get in touch.
Depending on how your account is set up, the organization appears in the sidebar as Organization, Agency or Company. They all work the same way.
Organizations
Organization admins find the organization in the sidebar. It has the following tabs.
Projects
The Projects tab lists every band or project in your organization, with the number of members, the creation date and when its license expires. An icon warns you when a license is about to expire or has expired.
- Click a project to switch to it.
- Add Project creates a new project. Enter its name and click Create Project. Your organization has a maximum number of active projects. When you reach it, the button disappears.
- The edit button lets you rename a project and change its Alt Name. The Alt Name is what TourLife calls this kind of project throughout the app. It's Band by default, but you can change it to e.g. Project or Production.
- Archive a project you no longer actively use. Archived projects don't count towards your maximum number of projects, and can be unarchived at any time.
Users
The Users tab lists everyone in any project of your organization, together with the number of projects they're part of. From here you can:
- Edit a user's details.
- Assign a user to the projects of your organization, or remove them.
- Edit permissions for one or more users at once.
Changing permissions from the organization overrides those users' permissions in every project of the organization. To change permissions for a single project, use Admin → Permissions in that project instead.
To add someone new to a project, use Add User in the project's Admin panel. When adding an existing user, you can pick them straight from the people in your organization.
Features
The Features tab shows a grid with every project as a column and every event tab as a row. It's the organization-wide version of Admin → Features, and lets you turn features on or off for all your projects in one go. Click Save Features when you're done.
Upcoming Events
TourLife can send a weekly email with an overview of all upcoming events in your organization. In the Upcoming Events tab:
- Toggle Enable Upcoming Events Email.
- Pick the Day to send Upcoming Events email. The email goes out at 09:00 (GMT+1).
- Set the Days to look ahead. With the default of 7, the email contains all events in the next 7 days.
- Choose the Information to include for every event: callsheet, contacts, roster, description, synced information, hospitality, hotel, merch, setlist, documents, guestlist, technical, promo, flights and/or transport.
- Click Save.
Agencies
Agency admins find the agency in the sidebar. The Organizations tab lists all organizations in the agency, with their number of admins, creation date and status. Click an organization to switch to it. Like projects, organizations can be archived and unarchived. Your agency can have a maximum number of organizations.
